Microsoft Teams Meetings Guide for Business

At a glance

  • Microsoft Teams is included with Business and Enterprise plans — no separate Zoom bill required for most SMEs.
  • Use calendar invites so external guests get one click to join.
  • Recordings save to OneDrive or SharePoint depending on policy.
  • Good audio beats good video — use headsets in open offices.

Who this guide is for

Teams who run daily stand-ups, client calls, or hybrid meetings on Microsoft 365 Business Standard or above in Thailand and Singapore.

Step 1 — Install and sign in

  1. Install Microsoft Teams from office.com or mobile app stores.
  2. Sign in with work account ([email protected]).
  3. Set status and time zone (Bangkok ICT or Singapore SGT).

Step 2 — Schedule a meeting the right way

From Outlook (recommended):

  1. New calendar event → Teams meeting toggle on.
  2. Add attendees (internal or external email).
  3. Send — guests receive link and dial-in if enabled.

From Teams:

  1. Calendar → New meeting
  2. Add title, time, channel (optional for internal-only).

Why Outlook: External guests and room resources sync reliably; reminders match mail.

Step 3 — Join etiquette for clients

Share this with staff:

  • Join 2 minutes early to test mic.
  • Mute when not speaking in groups over 4 people.
  • Use Share screen only when presenting — not whole desktop with email visible.
  • For confidential topics, confirm recording is off unless agreed.

Step 4 — Recordings and files

  • Recording → stored in organiser’s OneDrive (default) or team SharePoint.
  • Set a retention rule if recordings contain personal data (PDPA).
  • Post follow-ups in the meeting chat — chat history stays with the meeting.

Summary

Teams covers chat, calls, and meetings for most SMEs already paying for Business licenses. Standardise on Outlook-scheduled Teams meetings, train staff on mute/screen share basics, and align recording rules with PDPA.
